Dispatch Supervisor – Value Logistics
Purpose of the Role
The Dispatch Supervisor is responsible for managing and coordinating all dispatch operations within the warehouse, ensuring efficient stock movement and timely outbound logistics. This role focuses on accurate and on-time dispatch of goods, compliance with company procedures, and maintaining high standards of safety, quality, and security. The position also involves leading a dispatch team, monitoring performance metrics, and driving continuous operational improvements.
Key Responsibilities
Dispatch Operations and Processes
- Ensure all Standard Operating Procedures are clearly understood, regularly communicated, and consistently followed
- Utilize relevant systems to manage and monitor dispatch activities effectively
- Plan and coordinate daily outbound dispatch schedules to meet deadlines
- Allocate staff resources based on operational volumes to maximize efficiency
- Oversee picking and dispatch processes to ensure timelines are achieved
- Confirm availability of required materials and equipment for dispatch
- Maintain product integrity through proper handling and packaging standards
- Investigate and resolve discrepancies related to documentation, stock, or vehicle dispatch
- Coordinate with internal teams to resolve issues promptly
- Manage vehicle scheduling to ensure timely dispatch of goods
- Oversee correct loading procedures and ensure goods are securely loaded
- Control stock handover processes in line with system requirements
- Maintain and update Work in Progress (WIP) reports daily
- Ensure accurate and up-to-date dispatch documentation and filing
- Monitor dispatch reports, provide feedback, and communicate outcomes to management
- Analyse operational data and implement improvements based on insights
Staff Management
- Lead, supervise, and monitor dispatch team performance
- Plan and allocate resources effectively to meet daily operational needs
- Control and minimise overtime, authorising only when necessary
- Ensure all team members receive relevant training and development
Quality, Health & Safety, and KPI Management
- Define, track, and report on dispatch KPIs on a regular basis
- Drive continuous improvement initiatives within dispatch operations
- Proactively identify and address operational challenges
- Ensure compliance with Quality Management System procedures
- Manage Non-Conformance Reports and ensure timely resolution
- Monitor quality objectives and ensure targets are achieved
- Enforce Occupational Health and Safety standards and conduct regular safety checks
- Maintain a clean, organized, and safe working environment
MHE and Asset Management
- Ensure security of stock, facilities, and assets in line with company policies
- Track and manage assets to ensure proper usage and maintenance
- Oversee the effective and responsible use of Material Handling Equipment
Minimum Requirements
- Grade 12 (Matric)
- Diploma or Degree in Logistics, Warehouse Management, or Business Management (advantageous)
- Minimum 5 years’ experience in logistics or warehouse operations
- At least 2 years in a supervisory or management role
