Dispatch Supervisor – Value Logistics

Purpose of the Role

The Dispatch Supervisor is responsible for managing and coordinating all dispatch operations within the warehouse, ensuring efficient stock movement and accurate outbound logistics. This role focuses on meeting dispatch timelines, maintaining compliance with company procedures, and upholding high standards of safety, quality, and asset security while driving continuous operational improvement.

Key Responsibilities

Dispatch Operations

• Ensure all Standard Operating Procedures are clearly understood, regularly reinforced, and consistently followed
• Utilize business systems effectively to monitor and control dispatch processes
• Plan and execute daily outbound dispatch schedules to meet strict deadlines
• Allocate staff resources based on operational volumes to ensure efficiency
• Oversee picking activities to ensure readiness for dispatch
• Confirm availability of required materials and equipment for dispatch operations
• Maintain product integrity through proper handling and packaging practices
• Investigate and resolve discrepancies related to stock, documentation, or dispatch processes
• Coordinate vehicle scheduling to ensure timely dispatch of goods
• Manage stock handovers between departments in line with system requirements
• Ensure correct loading procedures and secure transportation of goods
• Maintain and update Work in Progress (WIP) reports daily
• Ensure accurate and organized dispatch documentation and filing systems
• Monitor dispatch performance and communicate updates to management
• Analyse operational data and implement process improvements

Staff Management

• Lead, supervise, and evaluate dispatch team performance
• Plan workforce requirements to meet daily operational demands
• Monitor and control overtime, approving only when necessary
• Ensure all staff receive relevant training and development

Quality, Health & Safety, and KPI Management

• Track, manage, and report on dispatch KPIs regularly
• Drive continuous improvement initiatives within dispatch operations
• Identify potential risks and address them proactively
• Ensure compliance with Quality Management System standards
• Manage non-conformance processes and ensure timely resolution
• Monitor performance against quality objectives and targets
• Enforce health and safety regulations and conduct routine safety checks
• Maintain a clean, organized, and safe working environment

MHE and Asset Management

• Safeguard warehouse facilities, stock, and assets in line with company policies
• Monitor asset usage and ensure proper maintenance
• Ensure efficient and responsible use of Material Handling Equipment

Minimum Requirements

• Grade 12 (Matric)
• Diploma or Degree in Logistics, Warehouse Management, or Business Management (advantageous)
• Minimum 5 years’ experience in logistics or warehouse operations
• At least 2 years in a supervisory or management role
