Contract Administrator – Signa Group

Qualifications & Experience

  • Paralegal diploma, LLB, or similar commercial-law qualification.
  • Minimum three (3) years’ contract administration experience in the training or services sector.
  • Strong understanding of South African commercial & labour law, BBBEE Codes, and POPIA.
  • Intermediate computer skills (MS Word, Excel, PowerPoint, Google).

  • Advanced MS Office (Excel, Word) and SharePoint document management.
  • Analytical ability to interpret financial, operational, and legal data.
  • Confident trainer with excellent written and verbal communication.

  • Positive, flexible attitude with strong presentation skills.

Duties & Responsibilities

Contract Lifecycle & Governance

  • Draft, proofread, and finalize agreements using approved templates.
  • Track and ensure full execution of contractual arrangements.
  • Maintain a centralized contract register with key dates and obligations.
  • Issue renewal or termination notices at least 60 days before expiry.
  • Ensure proper electronic filing of signed contracts and prevent payments on expired agreements.

Vendor Performance & Spend Analytics

  • Monitor supplier service-level obligations and compile quarterly performance scorecards.

Compliance & Risk Mitigation

  • Serve as the first point of contact for legal queries and escalate major risks.
  • Ensure compliance with BBBEE, labour law (BCEA, LRA), and POPIA.
  • Conduct annual contract-template reviews and maintain a dispute log.
  • Follow up on OHS risk assessments with third-party providers.

Staff Training & Awareness

  • Deliver bi-annual contract-compliance workshops for managers and teams.
  • Issue quarterly contract-compliance bulletins highlighting best practices.

Procurement & Policy Support

  • Assist with tender pack preparation and due-diligence questionnaires.
  • Verify supplier insurance certificates and track expiry dates.
  • Support the development and updating of procurement and contract policies.
  • Ensure supplier documentation complies with policies and legislation.

Statutory & Regulatory Filings

  • Provide contract evidence for SETA/QCTO/BBBEE audits and accreditations.

Contract Implementation, Monitoring & Data Integrity

  • Maintain accurate and updated contract control sheets.
  • Ensure 100% data integrity across financial and governance records.
  • Manage access controls for contract data updates.

Contract Template Setup & Maintenance

  • Manage templates for NDAs, consulting agreements, leasing, and fixed-term contracts.
  • Maintain standardized agreements for learning entities and inter-company use.

Contract Administration & Review

  • Verify contract requisitions and ensure execution aligns with approved templates.

Operating Contracts Management

  • Oversee contracts for IT, facilities, security, and other services.
  • Monitor performance and manage renewals for cost efficiency.

Inter-Company Agreements

  • Streamline contracts between Group entities to align with strategic goals.

OHS Policies & Compliance

  • Develop and maintain OHS policies and procedures.
  • Manage OHS appointments and committee coordination.
  • Ensure compliance with OHS regulations through scheduled activities.
