Fleet Controller – Value Logistics

Purpose of the Role
The Fleet Controller is responsible for ensuring that the company fleet is maintained in accordance with Value Logistics policies and Road Traffic legislation. This role ensures that all vehicles are roadworthy, compliant, cost-effective, and readily available to meet operational demands while supporting efficient transport and service delivery.

Key Responsibilities

Fleet Operations & Compliance

  • Maintain accurate electronic fleet records including kilometres, registrations, inspections, and maintenance history

  • Schedule vehicle services and repairs with workshops and panel shops

  • Ensure fleet availability through effective planning, forecasting, and utilisation analysis

  • Monitor and ensure full compliance with Road Traffic Acts and regulatory requirements

  • Complete and submit accident-related documentation to internal insurance departments

  • Manage routine and ad hoc maintenance, including vehicle tagging and licence renewals

  • Conduct vehicle dispatch and return inspections in line with SOPs

  • Maintain vehicle inspection books and compliance documentation

  • Monitor fuel consumption and reconcile fuel card usage for vehicles and drivers

Maintenance & Cost Control

  • Ensure vehicles are serviced according to prescribed intervals

  • Minimise downtime by negotiating service turnaround times and priority repairs

  • Maximise vehicle availability for transport operations

  • Manage repair and maintenance costs, ensuring accuracy of job cards and pricing

  • Analyse fleet expenditure against budgets and operational objectives

  • Implement corrective actions to improve fleet performance and cost efficiency

Driver & Safety Management

  • Conduct accident investigation meetings with drivers

  • Manage and recover abuse-related costs where applicable

  • Monitor driver behaviour including speeding, harsh braking, and erratic driving

  • Maintain and update driver scorecards to improve driving standards and reduce costs

  • Report poor driving behaviour that negatively impacts fuel usage and maintenance

Reporting & Record Keeping

  • Update weekly kilometre reports

  • Maintain vehicle and trailer asset registers

  • Compile fuel consumption, fleet utilisation, and availability reports

  • Prepare maintenance, inspection, and cost reports

  • Maintain driver training records, assessments, PDPs, and licence documentation

  • Track licence, COF, and compliance reports

  • Maintain the vehicle key register

  • Conduct weekly and monthly fleet inspections

  • Verify completion of daily vehicle debriefing

Additional Operational Support

  • Support truck rental and express operations when required

  • Stand in for site supervisors during absences or leave periods

  • Assist across departments or shifts when operationally required

  • Perform additional reasonable duties aligned with organisational objectives

Minimum Requirements

  • Grade 12 (Matric)

  • Code 10 driver’s licence

  • 2 to 3 years’ experience in a truck rental, fleet, or administrative environment

Skills & Competencies

  • Strong administrative and documentation skills

  • Ability to complete operational forms and reports accurately

  • Knowledge of hazard identification and corrective actions

  • Proficiency in Microsoft Office applications

  • Strong planning and organisational abilities

  • Effective customer service and stakeholder management skills

  • Report writing and document handling capability

  • Sound decision-making skills
